Why most "free sample" requests fail (and how to avoid it)

In our 2025 buyer survey, 38% of OEM sample requests stalled because buyers sent incomplete specifications. The factory replied asking 6 follow-up questions, the buyer got busy, and the project died. Here is the fix.

A pain patch OEM sample is not a freebie. It is the first deliverable of a 90-day production cycle. When you send a complete RFQ (Request For Quotation) packet, three things happen:

  1. The factory can quote real cost, not placeholder numbers
  2. The lab can pre-blend the formula based on your active ingredient profile
  3. The lead time clock starts — sample ships in 5-7 days, not 14-21

Send this to the OEM factory on Day 1. Skip any item and you will get a placeholder quote.

1. Product spec

  • Patch size (e.g., 7×10 cm, 10×14 cm)
  • Patch shape (rectangle, oval, custom die-cut)
  • Active ingredient (capsaicin, menthol, lidocaine, diclofenac, methyl salicylate, herbal blend, etc.)
  • Dosage (mg per patch, or % concentration)
  • Wear time target (8h, 12h, 24h)
  • Skin type target (sensitive, normal, athletic)
  • Backing material preference (non-woven, PE foam, elastic fabric)

2. Branding

  • Will you provide artwork (AI/PDF)? Or need OEM design service?
  • Product name (final or working name)
  • Languages on packaging (English only? EN+ES? EN+DE+FR+IT?)
  • Sachet style (single sachet, double sachet, aluminum foil)
  • Outer box (paper box, plastic case, none)

3. Compliance target

  • Target market (USA, EU, GCC, LATAM, SEA, etc.)
  • Certifications needed (FDA registration, CE MDR, ISO 13485, GMP, organic, etc.)
  • Labeling language (must comply with destination market)

4. Volume forecast

  • First PO quantity (typical 5,000 - 50,000 pieces)
  • Annual forecast (typical 100,000 - 2,000,000 pieces/year)
  • Seasonality (steady, holiday peak, summer peak)

5. Logistics

  • Incoterm (FOB Shenzhen, FOB Ningbo, CIF, DDP)
  • Sample shipping: buyer provides DHL/UPS/FedEx account? Or factory pays (DDP)?

What should be inside your free sample shipment?

A serious pain patch OEM factory sends a complete sample pack, not just bare patches. Here is what should be in the box.

How to evaluate the sample (7-point lab test)

You do not need a $20,000 lab to test a sample patch. Here is a 7-point buyer-side test protocol that takes 48 hours and costs under $200 if you contract a local lab.

  1. Adhesion test (peel strength): stick on forearm for 8 hours, measure residual glue with rating scale 1-5. Target: ≥4.
  2. Skin irritation patch test: 24-hour patch test on 5 volunteers with sensitive skin. Zero redness = pass.
  3. Active ingredient content: HPLC test by contract lab. Should be ±10% of label claim.
  4. Wear time vs claim: apply at 9am, check adhesion every 2 hours. Should hold claimed wear time ±10%.
  5. Scent profile: open sachet, smell at 0/30/60 minutes. Menthol/capsaicin intensity should be linear, not spike then crash.
  6. Sachet integrity: check for pinhole leaks, delamination, printing smudge. 10 sachets, 0 defects = pass.
  7. Lab claim verification: claim "12-hour relief" → ask lab to do wear study with 10 testers, score at hour 8, 10, 12.

What to do if the sample fails

One test fails = discuss with factory, request second sample with adjusted formula. Two tests fail = next factory. Do not chase more than 2 rounds; the formula ceiling is structural.

Scoring the factory (decision matrix)

Before placing a 50,000-piece PO, score your OEM factory on these 10 dimensions. Each scored 1-10.

DimensionWeightScore (1-10)Notes
Sample quality20%From 7-point test
Communication (24-hour reply)15%Test during RFQ stage
Lab transparency (COA provided)10%Free + unconditional
Certifications (ISO 13485, CE, FDA)10%Verified copy, not screenshot
Production capacity (matches your forecast)10%Lines, shifts, monthly output
Lead time realism (no over-promise)10%Compare with sample shipment timing
Price transparency (cost breakdown)10%Not just unit price

Defect replacement policy (AQL)5%Should be in PI

Decision threshold: weighted average ≥7.5 → place first PO. 6.0-7.5 → second sample. Below 6.0 → next factory.
